HangarFox keeps your logbook, your aircraft and your plans. They are yours: private unless you choose to share them, and never sold or used for advertising.
Who we are
HangarFox is run by [name of the person or company], [address]. For anything about your data, use Feedback in the app or email [privacy contact address]. Under UK data protection law we are the controller of the personal data described here.
What we keep
- Your account: name, email address, password (only as a secure hash), home aerodrome and preferences. If you turn on two-step sign-in, its secret is kept encrypted.
- Your flying: logbook entries, flights and trips, aircraft and their weight and balance, ratings and licence details you enter, and anything you import.
- GPS tracks you send in by email from SkyDemon.
- People: your contacts, who you follow and who follows you, and the names and email addresses of people you record as flying with you.
- What you post: aerodrome notes and reviews, captions on flights you share, kudos you give, fly-outs, and feedback you send us.
- Notifications we show you, kept for 90 days, and the badges and challenge progress worked out from your logbook.
- Sign-in records: for each signed-in session, the time, IP address and browser, to protect accounts.
Who sees it
Everything is private to you unless you choose otherwise. Specifically:
- Your profile shows only the parts you switch on in Settings, under a short name such as “John S”. Contacts see your full name.
- Trips and flights appear on your profile and in the feed only if you share them, and then only to your followers and contacts. A shared flight shows its route, date, aircraft, your flight time, its caption and, if you sent one in, its GPS track — with the part near your home aerodrome left out, to a distance you choose in Settings.
- Badges are private to you until you share one; then it is on your profile and in your followers' and contacts' feeds.
- Challenges: nobody sees your progress but you. A challenge's page shows how many pilots are taking part, never who.
- Connected apps such as Claude see only what you let them: the logbook, totals, currency, ratings and aircraft, once you approve the app on HangarFox, and — if you leave that box ticked — add flights and correct your own entries, which are labelled with the app's name and listed under Connected apps for 90 days. What an app reads goes to the company behind it and is handled under its terms; for Claude, that's Anthropic. Disconnect an app from Settings at any time.
- Kudos you give are seen, with your short name (your full name, to your contacts), by the pilot whose flight it is and anyone else who can see that flight.
- “Flying in” on an aerodrome page shows your aircraft's registration, the day and the half of the day — only if you turn it on for that trip.
- Aerodrome notes and reviews are seen by every signed-in pilot, with your short name.
- The heat map includes your tracks only if you turn on track sharing, and shows them only as squares flown through, never as routes or times.
- A flight you share with another pilot or passenger is seen by them.
- Aerodrome pages count landings logged there, without saying whose.
Administrators can see account details to run the service and answer feedback.
Why, and on what basis
- To provide HangarFox to you — keeping your logbook and plans — which is the contract between us.
- To keep accounts secure and the service working, which is our legitimate interest.
- To share what you choose to share, which is your choice and can be undone at any time.
- To email you about your account, replies to your feedback and things you ask to be told about, including the notification digest if you turn it on. Every digest has a link that stops it.
Who else is involved
- DigitalOcean hosts the servers and database, [in London].
- Postmark sends and receives our email.
- Weather, aerodrome and map services — NOAA aviationweather.gov, Open-Meteo, OurAirports and OpenFreeMap — receive aerodrome codes or map areas, never who is asking. Map tiles load from OpenFreeMap in your browser, so they see your IP address.
- airport-data.com is asked for photos by aircraft registration.
We use cookies only to keep you signed in and to protect forms from forgery. No analytics or advertising cookies.
How long we keep it
For as long as you have an account. You can delete it yourself, from Settings, at any time: it goes straight away, with your logbook, aircraft, plans, tracks and everything you posted. It remains in our backups until they are overwritten, [within (period)].
The exception is a flight you shared with another pilot: it stays in their logbook as their record, without your remarks, notes or caption. A copy of your data you download from Settings is kept for 7 days, then deleted. Notifications are kept for 90 days.
Your rights
You can see and correct your data in HangarFox. Under Your data in Settings you can download a copy of everything we hold about you, as a ZIP file, and delete your account. You can also export your logbook as CSV or PDF from the Summary page.
You can also ask us for a copy of your data, to correct it, to delete it, or to object to how we use it, using Feedback or [privacy contact address]. We'll answer within a month.
If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office.
Changes
If this changes in a way that matters, we'll say so in the app before it takes effect.
